These Terms & Conditions (“T&Cs”) apply to all bookings made with TravoCycle, whether through our website, by phone, email, or via authorized agents. By confirming a booking, you agree to be bound by these T&Cs.
1. Definitions
“We/Us/Our” – Refers to TravoCycle, based in Shimla, Himachal Pradesh, India.
“You/Your/Client” – Refers to the person(s) making the booking and all members of the travel party.
“Service Provider” – Refers to third-party vendors such as hotels, airlines, transport providers, and activity operators.
2. Booking & Payment Policy
A booking is confirmed only after receipt of the deposit as per the schedule below:
For bookings made:
21 days or more before arrival
30% deposit to confirm booking
40% payable on arrival
30% payable 2 days before the end of the stay
10 to 20 days before arrival
40% deposit to confirm booking
40% payable on arrival
20% payable 2 days before the end of the stay
7 to 9 days before arrival
50% deposit to confirm booking
50% payable on arrival
Payment Methods: We accept bank transfers, UPI, credit/debit cards, and other approved payment modes.
3. Cancellation & Refund Policy
For cancellations made:
21 days or more before arrival – 30% of the total package cost will be charged
10 to 20 days before arrival – 50% of the total package cost will be charged
7 to 9 days before arrival – 80% of the total package cost will be charged
24 to 48 hours before arrival – 100% of the total package cost will be charged
Additional Notes:
Refunds, if applicable, will be processed within 7–14 business days.
No refunds for unused services, late arrivals, or early departures.
If cancellation is due to circumstances within TravoCycle’s control, a full refund or equivalent travel credit will be provided.
4. Pricing & Inclusions
All prices are quoted in INR unless otherwise specified.
Prices may change due to tax revisions, fuel surcharges, currency fluctuations, or other unforeseen supplier costs.
Package inclusions/exclusions will be clearly mentioned in your itinerary; items not listed as included are considered excluded.
5. Changes to Itinerary
Change requests must be made in writing and are subject to availability and any applicable charges.
We reserve the right to alter itineraries due to weather, road conditions, government regulations, strikes, or other unavoidable situations.
6. Travel Documents
Clients are responsible for carrying valid government-issued ID, visas, and permits.
For restricted or border areas, documentation must be submitted in advance in compliance with local regulations.
7. Responsibility & Liability
TravoCycle acts as a coordinator between clients and service providers.
We are not liable for delays, cancellations, property loss, injuries, or other incidents beyond our control.
Clients are responsible for safeguarding personal belongings at all times.
8. Health & Safety
Clients must ensure they are medically fit for travel.
We may refuse service to anyone deemed unfit or posing a safety risk.
We recommend travel insurance covering medical emergencies, cancellations, and personal property.
9. Force Majeure
We are not responsible for service disruptions caused by events beyond our control, including but not limited to natural disasters, pandemics, political unrest, or government restrictions.
10. Conduct
Clients are expected to maintain respectful behavior towards fellow travelers, service providers, and TravoCycle staff. Misconduct may result in termination of services.
